How to coordinate wedding speeches: your ultimate guide

Welcome to our latest blog post, where we delve into the essentials of coordinating wedding speeches – a key element of any unforgettable wedding reception! Coordinating wedding speeches effectively requires a blend of organization and attention to detail. Here are some steps you might find helpful:

Step 1: Pre-Planning
Start by reaching out to your chosen speakers (typically the Maid of Honor, Best Man, and parents). Confirm their participation early and discuss time limits for their speeches to ensure a smooth flow.

Step 2: Scheduling
Integrate speeches into your wedding timeline. Commonly, they are best placed during the reception, either interspersed between meal courses or right before the dance floor opens. Based on our experience, we have seen that what works best is to have them at the very start of the dinner before the entree, in between the first and main course and at the very end of the dinner.

Step 3: Guidelines for speakers
Provide clear guidelines. Suggest a speech length (3-5 minutes is ideal) and remind them to keep content appropriate for all ages. The tone can vary from heartfelt to humorous, depending on the speaker's relationship with the couple.

Step 4: Order of Speeches
A traditional speech order often includes:

  • Host's welcome (usually the bride's father) and parents' speeches

  • Maid of Honor and Best Man

  • The couple's thank-you speech

Step 5: Vendor Communication
Coordinate with your DJ/band and catering manager about the speech timing for seamless transitions. For a best outcome, we discuss the timeline with the catering providers as well so that the plates arrive warm and there are no distructions by waiters roaming around and cleaning.

Step 6: Rehearsal
If possible, ask your guests to test and time themselves to respect the time given.

Step 7: Equipment Check
Confirm the availability of a working microphone and sound system at the venue.

Step 8: Day-of Coordination
As a planner, keep the event on schedule and assist speakers as needed. As a wedding planner, I also offer MC and this helps me navigate and coordinate the timeline at my best.

Step 9: Have a Backup Plan
Be adaptable. If things don't go as planned, be ready to adjust accordingly.
